Electronic document routing, dispatching and processing

With GeoBooks On Demand workflow, business documents such as orders, invoices, payments and journal vouchers can be instantly routed to the right people in your organization for follow-up action. Workflow eliminates the paper chase that plagues many businesses, especially those who operate in far-flung locales around the world.

For example, after your accounting clerks set up journal vouchers, invoices or payments, GeoBooks On Demand can be configured to sanity-check these documents and post them automatically if they are within tolerance. Those that fall outside of tolerance, either on the basis of monetary or statistical value, can be routed to supervisory personnel such as your controllers for review. The controller's approval automatically routes the document for posting. Otherwise, workflow can reroute the document to the originator for follow-up action.


Similar workflows are available to streamline your customer service and procurement operations. For example, GeoBooks On Demand can scruitinize customer orders and automatically route those that meet all credit, material availability and price criteria for immediate fulfillment.


Instead of having to hunt through menus to do their jobs, users simply click tasks routed to them from their Home Page.


Automatic scheduling of background jobs

You can use GeoBooks On Demand workflow to schedule background jobs, too. For example, you can set up schedules for processing recurring invoices, payments, recurring journal vouchers, revaluations, translations and consolidations. These schedules be be as frequent as once per second or as infrequent as once per year. And, you can align these schedules with fiscal periods as well as calendar intervals.


To-do lists

On addition to automatic routing and dispatching of tasks through workflow, GeoBooks On Demand provides a handy way for users to remind themselves of important tasks. Each user can set up their own to-do list which is always visible from their Home Page.


Global time synchronization

One of the Internet's major advantages is its ability to route documents electronically across the globe, not just within the office. But global business processes won't work well without accurate synchronization of schedules, dates and times. GeoBooks On Demand automatically keeps track of each user's current time zone, aligns all time-sensitive data according to a global clock, and converts this data to the recipient's local time zone.


You can also use this feature to globally synchronize important financial events, such as closing a fiscal period or closing the year.
